A. Consultation Request Forms

• Our internal system tracks the number of consultation forms submitted on our website.
• We do not access, collect, or store the content of any form submission when generating these counts.
• If you choose to submit a consultation request (in English or Spanish), we collect what you enter on that form: your contact details (name, email address, cell phone number, and mailing address); details about your child, such as name, age, grade, and school; whether your child has an IEP or 504 plan; your answers about evaluations, eligibility, and any past representation; and what you tell us about your concerns.
• This information is used only by Hope4Families staff to follow up, schedule a consultation, or provide legal/advocacy services. Your name and email are also passed to Calendly, our scheduling provider, so you can book a time (see Section 4).
• This personal information is not shared with our internal app and not transmitted to any third-party analytics or social media platform.

B. Social Media Analytics

To understand our outreach efforts, our internal app pulls publicly available engagement metrics from TikTok, Instagram, YouTube, and LinkedIn.

Examples include:

• Follower counts
• Video views
• Likes, comments, shares
• Account growth trends

• These metrics are aggregated and non-identifiable.
• We do not receive or access any personal data about users who engage with our social media accounts.

C. Website Page Views

When you open a page on our website, we record the page address (without any extra details added to the end of it), the referring website (its name only), whether you are on a mobile or desktop device, and, when our network provider supplies it, the country the visit comes from.

• This record does not include your IP address.
• Our website does not set cookies. Cloudflare, our network and security provider, may set cookies that are strictly necessary for security, such as protection against automated bots.
• If your browser sends a Do Not Track or Global Privacy Control signal, no page view is recorded.

D. Newsletter Sign-Up and Interview Interest Form

• If you sign up for our newsletter, we collect your first and last name, email address, and state, and use them to send you our newsletter.
• If you tell us you are interested in being interviewed, we collect what you enter on that form (your name, email address, phone number, state, professional title, organization, and your answers about your work and availability) and use it to follow up with you about an interview.
• Both are stored in the firm’s Google Workspace account.

E. Community Outreach Speaking Request Form

• If you invite us to speak through the form on our Community Outreach page, we collect your organization’s name, website, and type; the contact person’s name, phone number, and email address; your answers about your organization, the community you serve, and its needs; and how you heard about us.
• We use it only to respond to your request, and it is stored in the firm’s Google Workspace account.

We use aggregated analytics and form-submission counts to:

• Understand how families find our content
• Improve access to special education information
• Track the effectiveness of our outreach efforts
• Support internal planning and service delivery

This information is used internally only and is never sold, rented, or shared with third parties for marketing purposes.

Hope4Families does not use any student records, IEP information, case files, or personal details from families for analytics or social media data tracking.

Your private information including anything shared during legal or advocacy services remains confidential and protected under the rules governing law firms.

Our website may link to or embed content from:

• TikTok
• Instagram
• YouTube
• LinkedIn

Some of our blog posts include YouTube videos, but nothing is loaded from YouTube until you press play; after that, YouTube (owned by Google) handles that video under its own privacy policy.

Our website is hosted on Railway. Traffic to the site may pass through Cloudflare, our network and security provider, which then handles the secure (HTTPS) connection. Consultation, outreach, newsletter sign-up, and interview interest form submissions and page-view records are sent to the firm’s Google Workspace account (Google Apps Script and Google Sheets). If a form cannot be delivered, its contents are kept temporarily in our hosting provider's server logs so our team can recover the request.

When we are scheduling consultations, submitting a consultation request takes you to Calendly, our scheduling provider, to book a time. Your name and email are passed to Calendly to fill in its booking form, and Calendly handles your booking under its own privacy policy.

These platforms have their own privacy practices.

We encourage you to review their respective privacy policies.

We take appropriate technical and administrative measures to safeguard any information you provide to us through our website or during client intake.

Our internal analytics app operates on secure systems and does not collect personal or sensitive data from families.

Depending on your location, you may have rights to:

• Request access to personal information you’ve submitted
• Request corrections
• Request deletion of your information
